VRVis Zentrum für Virtual Reality und Visualisierung Forschungs-GmbH is funded by BMK, BMAW, Styria, SFG, Tyrol and Vienna Business Agency in the scope of COMET - Competence Centers for Excellent Technologies (879730) which is managed by FFG.

According to EU directive 2019/1937 and the Whistleblower Protection Act (HinweisgeberInnenschutzgesetz) the establishment of an anonymous reporting system is mandatory in order to report violations of EU law or sections 302 to 309 of the Austrian Criminal Code to the company management. Data Protection Declaration

The protection of your personal data is very important to us at VRVis. Therefore, your data is exclusively processed based on the legal regulations (EU GDPR, Austrian TKG 2003 as well as the Research Organization Act). In our privacy policies following below, we inform you about the most important aspects of how we are going to use and process your data.

The following statement is intended for you in your role as a visitor to our website, project partner, applicant or business partner of VRVis to inform you about what kind of data is collected, for what purpose and for what duration of time it is retained. Moreover, we would like to ensure your ability to determine which of your personal data we handle and how.

Personal data may only be processed and transmitted in the context of performing a specific, agreed-on task and only for the purposes for which it was originally collected.

According to Article 7 §2c Research Organization Act, VRVis is a research institution, to which we hereby refer in accordance with Article 7 § 2d (5a). Therefore, as a scientific entity for research purposes and research activities in Austria, we may process personal data (e.g. medical data) and transmit it to other scientific institutions when the data is made anonymous or pseudonymized, or when domain-specific personal identifiers or other unique identifiers are used instead of the name. Since we do not process any register-related data (e.g. ELGA), we as a research institution do not need to appoint a data protection officer.

General Contact with us at VRVis

If you contact us by e-mail, your submitted data will be used and retained for the purpose of processing and responding to your request. We will not share this information without your consent.

Cookies

Our website does NOT use cookies as a default setting. The service Flocklr sets the cookie "socialwall" as soon as the user actively clicks on the button "Load social wall"; This cookie is stored for 60 days. The Google Maps service only sets cookies as soon as the user actively clicks on the "Load Google Maps" button; These cookies are stored for six months. If you do not agree with this, do NOT click on the buttons and do not use these optional services, which are also not activated by default.

Fonts

Our website uses the Google font "Source Sans Pro", which is subject to the Open Fonts license and is stored on our server. This means that no Google server is contacted and no data is passed on to Google.

Log-data

When you visit our website vrvis.at, the web servers temporarily store every access in a log file. The following data is collected and stored until it is being deleted automatically:

  • IP address
  • Date and time of access
  • Name and URL of retrieved data
  • Amount of transferred data
  • Notification if the retrieval was successful
  • Browser and operating system used
  • Website from which access/ retrieval happens
  • Name of your internet (access) provider

We do not merge this data with other data. The data is being deleted after a maximum of 90 days after the application server has statistically evaluated the data. Subsequently only pseudonymized data is stored and processed.

Web Analysis

Our website does not use cookies. In accordance with EU GDPR our legitimate interest is the improvement of our website and our services. Since the privacy of our users is important to us, the data is pseudonymized. Our website uses features of the open source web analytics program Matomo.

Your IP address is captured, but pseudonymized. As a result, only a rough localization is possible. The data processing takes place on the basis of the legal regulations of § 96 (3) Austrian TKG as well as Article 6 paragraph 1 (a) (consent) and/or 1 (f) (legitimate interest) of the EU GDPR.

Newsletter

You may subscribe to our newsletter via our website. In order for you to subscribe, we need to collect your e-mail address and your consent to receiving our newsletter. We strive to provide you with information desired by you, therefore, we also collect and process information, voluntarily provided, about your name, your company, and your willingness to join our event invitations. For sending the newsletter, we use the European tool sender.net as a processor, whose servers are located in Europe.

As soon as you sign up for our newsletter, we will send you a confirmation e-mail with a link to confirm the registration. We do not ask you to provide additional information in this confirmation e-mail.

You can cancel the subscription to our newsletter at any time. You will find an unsubscribe link in the footer of each of our newsletter. In addition, you may also send your cancellation request to the following e-mail address: pr(at)vrvis.at. We will immediately delete your data in connection with the newsletter dispatch.

Event Invitations

You may subscribe to our event invitations and/or to our VRVis-Forum via our website. In order for you to subscribe, we need to collect your e-mail address and your agreement to receive these electronic invitations by e-mail.

Data processing in connection with your job or internship application

As part of the application process, we collect your name, your address and telephone-number (if provided) as well as accompanying documents that you submit with your application. The data is stored for the period of the respective application process and the statutory retention period of 6 months. In addition, we keep your contact details available for another 12 months in order to reach out to you as soon as a matching job opening may occur.

If you should oppose to providing your data beyond the statutory retention period of 6 months, please indicate this when submitting your application. Otherwise, you can request the deletion of your data provided with your application at any time by writing an e-mail to career(at)vrvis.at. Your data will then be deleted after the statutory retention period of 6 months and no longer kept for future reference (e.g. future job offers).

Data processing in connection with a joint project with us

VRVis stores your first name, last name, e-mail address and hashed password in connection with your access accounts (e.g. IT services). Furthermore, every access to our servers is logged.

Data processing in connection with our legal obligations

By law, which we obey, we are required to store and retain data for certain periods of time. Please refer to the WKO website for an overview of all legal storage and retention periods.

Furthermore, we are obliged to keep the storage and retention periods requested by our funding agencies. These can be up to 10 years after the end of the project.

We are legally obligated to invoice (to our customers) and to accept invoices (by our suppliers). The documents are stored electronically and/or as printout for the time of the respective legal retention period and will then be deleted/destroyed.
In cooperative research projects, we are obliged to provide insight into the records/data of the specific project to the respective funding agency and/or consortium leader in their capacity as control bodies.

Please note that for projects funded by the government or governmental agencies, extended retention periods may apply.

Your Rights

The right to information, correction, deletion, restriction, data portability, revocation and opposition is legally entitled to you. You are welcome to contact us in this regard!

If you believe, that the processing of your data violates data protection law or your data protection claims have otherwise been violated, you are welcome to contact us at any time so that we can take care of your request. You also have the option to submit your request to the supervisory authority, which is the Austrian Data Protection Authority.
